Scope:
Oxford House, synonymous with the import and retail of home appliances, kitchens, home furniture, bedding, and office solutions, is seeking to recruit the services of an Accounts and Service Administrator to join its team. The ideal candidate will form part of the Accounts Team, primarily responsible for after-sales billing and administration.
Responsibility:
- Manage the processing of sales invoices, incoming payments, and related financial activities.
- Verify the procedures and controls used for recording financial transactions.
- Perform other accounting and administrative duties as assigned.
- Review after-sales job cards for accuracy and completeness, closing these once all criteria are met.
- Ensure all job closures comply with internal SOPs and external regulatory requirements.
- Reconcile warranty related claims following different processes that are supplier dependent.
- Maintain digital and/or physical records of closed job cards.
- Reconcile on a daily basis with technicians the parts used, and parts brought back.
- Reconcile on a daily basis cash payments brought by technicians, with labour hours and parts used on job cards.
- Generate daily or weekly reports on active/pending jobs, and discrepancies.
- Identify recurring issues in job card completion and suggest process improvements.
- Perform periodic parts stock takes as directed by the company Financial Controller.
- Assist in audits and quality checks.
- Participate actively in any company training, remaining open to learning and reaching new goals.
- Fluency in both English and Maltese, with strong verbal and written communication skills in both languages
- Advanced Level of education or certifications in Accounts will add value to the application.
- Proficiency in computer applications, particularly Microsoft applications and Shireburn software are considered an asset.
