Logistics Coordinator

Scope:
Oxford House, synonymous with the import and retail of home appliances, kitchens, home furniture, bedding and office solutions, is seeking to recruit the services of a Logistics Coordinator.

The Logistics Coordinator, operating in a dynamic, customer orientated environment, is responsible for the coordination and scheduling of delivery and installations’ appointments, while supporting day-to-day office operations.

Essential Duties and Responsibilities:
  • To provide and excel in customer care, provide accurate information to clients, while promoting the services and products of the company.
  • To take a leading stance and participate actively in the drawing up of appointments for deliveries of goods, installations of furniture and other similar requirements.
  • Ensure that the human resources are maximised upon through the effective coordination of employee schedules, while keeping at the forefront customer exigencies.
  • Answering phone calls, communicating via email correspondence, processing purchase and sales orders, issuing delivery notes, and setting out payment requirements.
  • Remain in close liaison with wholesalers, coordinating their needs to retail effectively the products and services sourced to them.
  • Fulfil general administration duties including the processing of sales and purchase orders, delivery notes and the issuance of warranty certificates, where applicable
  • Support the shipping function, by having a clear understanding of shipments reaching the warehouse.
  • To support the warehouse, delivery and installations team, ensuring their productivity levels are within parameters set.
  • Participate actively in warehouse regular and periodic stock takes.
  • Ensure full health and safety compliance is in place, reporting incidents as required.
  • Mentor the team, participate in training opportunities, targeting positive outcomes and continuous personal development initiatives.
Requirements:
  • Fluency in both Maltese and English languages with strong verbal and written communication skills in both languages.
  • Advanced Level standard of education and proven experience in the logistics field, administration, or a similar job role is highly desirable.
  • Proficiency in computer applications, particularly Microsoft applications and Shireburn software, is considered an asset.
  • Exceptional organisational skills and the ability to manage multiple tasks concurrently.
  • Effective communication and interpersonal skills.
  • Ability to handle challenging situations with professionalism and patience.
  • Capability to thrive in a fast-paced, deadline-driven environment.
